Abstract
The proposed system which is the Archiving system was made for the Sangguniang Panlungsod of the Bacolod Record Section. Archiving is a process of storing and keeping of publicrecords and documents. One purpose of archiving is to preserve documents for its further use and also for immediate retrival that could be done for the automated process. The record's Section is a division under the Sangguniang Panlungsod of Bacolod tasked to receive and record all correspondences and requests to their office, to prepare copies of correspondences received for distribution to all the members, to prepare agenda for the Sangguniang Panlungsod sessions, to file all records and correspondence of the office and to attend to the request of the City Government and the public for the copies of Resolutions, Ordinances and minutes of the meeting and to perform such duties as the board secretary, SP secretary from time to time. The Archiving System will provide a simple way of entering records into the database. The system will archive Appropriation Ordinances, City Ordinances, Resolutions and Correspondence. The record that are inputted and entered in the system could not be edited and only the authorized users can access the records, also the system will not allow to delete any records that were stored.
